This Privacy Policy explains how Qwaiton ("Qwaiton", "we", "us" or "our") collects, uses, shares and protects personal information when you visit qwaiton.com, create an account, start a free trial, or use our queue management platform (the "Service"). By using the Service you agree to the practices described here.
1. Who we are
Qwaiton provides queue management, virtual queuing, appointment booking, QR check-in, visitor management and related analytics software for businesses. For any privacy question you can reach us at info@qwaiton.com or +1-647-558-0474.
2. Information we collect
- Information you provide: your name, work email, company, phone number and message when you sign up, start a trial, request a demo, subscribe to our newsletter, download a resource, or contact us.
- Account & billing information: login credentials and, for paid plans, billing details processed by our payment provider (we do not store full card numbers).
- Data you process through the Service: when your business uses Qwaiton to manage queues, you may enter or generate end-customer information (such as a name, ticket number or contact detail). For this data you are the controller and we act as a processor on your behalf.
- Information collected automatically: IP address, device and browser type, pages viewed, referring URLs and similar usage data, collected through cookies and comparable technologies.
3. How we use your information
- To provide, operate, secure and improve the Service;
- To create and manage your account and free trial, and to process subscriptions;
- To respond to enquiries and provide customer support;
- To send service messages and, where you have opted in, marketing communications you can unsubscribe from at any time;
- To monitor usage, prevent fraud and abuse, and comply with legal obligations.
4. Legal bases for processing (EEA/UK)
Where the GDPR applies, we rely on: performance of a contract (to deliver the Service), your consent (for marketing and non-essential cookies), our legitimate interests (to secure and improve the Service), and compliance with legal obligations.
5. Cookies & analytics
We use essential cookies to run the site and, with your consent where required, analytics cookies (for example Google Analytics) to understand how the site is used. You can control cookies through your browser settings; disabling some may affect functionality.
6. How we share information
We do not sell your personal information. We share it only with:
- Service providers that help us operate — for example our email/CRM provider (Brevo), hosting, analytics and payment processors — under contracts that require them to protect your data;
- Integrations you choose to enable, such as Zapier, Zoho, GoHighLevel or Tomedo;
- Authorities where required by law, or to protect our rights, safety and the security of the Service;
- A successor in the event of a merger, acquisition or sale of assets, subject to this Policy.
7. Data retention
We keep personal information only as long as needed for the purposes above, to comply with legal obligations, resolve disputes and enforce agreements. When no longer needed, we delete or anonymise it.
8. Security
We protect your information with appropriate technical and organisational measures, including encryption in transit and at rest, access controls and monitoring. No method of transmission or storage is completely secure, but we work hard to safeguard your data.
9. International transfers
Qwaiton operates globally, so your information may be processed in countries other than your own. Where required, we use appropriate safeguards (such as standard contractual clauses) for these transfers.
10. Your rights
Depending on where you live, you may have the right to access, correct, delete, restrict or object to the processing of your personal information, to data portability, and to withdraw consent. California residents have rights under the CCPA/CPRA, including the right to know and delete and to opt out of "sales" (we do not sell personal information). To exercise any right, email info@qwaiton.com; we will respond as required by law.
11. Children
The Service is intended for businesses and is not directed to children under 16. We do not knowingly collect their personal information.
12. Third-party links
Our site may link to third-party websites we do not control. This Policy does not apply to them; please review their own privacy notices.
13. Changes to this Policy
We may update this Policy from time to time. We will revise the "Last updated" date above and, for material changes, provide additional notice where appropriate.
